Policies

Payments, Cancellation & Rescheduling (Liquidated Damages)

Deposit at Booking. A non-refundable deposit of 50% of the Total Contract Price is due at the time of booking. Dates are not held until the deposit is received and funds have cleared.

Final Payment. The remaining balance is due six (6) months prior to the first Event Date.

Cancellation by Client.

More than six (6) months before the first Event Date: The deposit is forfeited; no additional payments are due.

Six (6) months or less before the first Event Date: All monies paid are non-refundable and retained by Host as agreed liquidated damages (not as a penalty). All cancellations must be submitted in writing to Contact@bookhocking.com (or another address provided by Host).

Rescheduling. One (1) date change is permitted within twelve (12) months of the original event date upon payment of a $500 rescheduling fee, subject to availability and Host approval. All previously paid amounts remain non-refundable and apply to the new date. Original cancellation timelines continue to govern.

Reasonableness of Liquidated Damages. The above amounts represent a reasonable estimate of Woodland Retreats’ anticipated losses from holding and re-marketing the contracted dates, administrative costs, and lost business opportunities, and are not intended as a penalty.
